Grant readiness: 7 things to have in place before you apply

Most grant seeking is paperwork. The organizations that win are rarely the ones that write better — they are the ones that have their documents and data ready so they can apply quickly when the right opportunity appears.

1. Current 501(c)(3) determination letter

Nearly every foundation and federal grant requires it. Keep a clean PDF on hand. If you don't have determination status yet, many grants accept a fiscal sponsor — an existing 501(c)(3) that administers funds on your behalf.

2. A recent Form 990

Funders want to see your financial history. Keep your most recent 990 and a current organizational budget ready to attach.

3. A one-page organizational overview

Mission, service area, who you serve, what you've achieved, and your budget at a glance. Most applications ask for some version of this, and having it written once saves hours each time.

4. Real outcomes data

Funders trust numbers. Track the people you serve, the change they experience, and how you measure it. You don't need a research team — a simple attendance log and a pre/post survey cover most program grants.

5. A basic evaluation plan

Tie each objective to a data source, a collection method, and a person responsible. Reviewers score feasibility here, and a simple, honest plan beats an elaborate one you can't run.

6. Letters of support and partner MOUs

Signed letters from partners and a current board list with affiliations show you can actually deliver. Gather them once and keep them in a shared folder.

7. W-9 and UEI number

Federal applications need a UEI (Unique Entity ID) and a W-9 for any award. Get your UEI registered before the deadline rush — it can take longer than people expect.
